Who looks after your information?

DAO is the data controller of the personal data you share with us. A data controller is in charge of all the personal data collected about you. DAO has appointed a Data Protection Officer who makes sure that we follow the law and handle your personal data with care.

DAO may receive your personal data where it is publicly available or from third parties. A third party is an individual or organisation not directly involved in DAO’s activities. For example, DAO receives your sales information from Eventbrite when you buy a ticket for one of our events. 

What happens if we can’t collect your information?

If you do not provide DAO with the personal data we require (for example, because of a contract we have with you) we may not be able to provide you with the response, product or service you have requested. 

If this is the case, we will promptly contact you to provide an update on the situation and suggest possible solutions.

Ways we use your information

Contacting us

If you contact us directly, we will use your name and contact details to respond to you. We will continue to hold your data if you have been in contact with us and we believe we have a legitimate interest in keeping you informed of our work.

Receiving our newsletter

If you sign up for DAO’s newsletter, we will ask for your name, organisation name and email address. This will be used to send you the newsletter approximately every week. 

We also ask for your postcode so that we can track the location of our online audience to ensure that we are reaching a wide range of people, and are meeting our charitable objectives.

This information is held because you have given your consent for us to use this data. Your consent can be withdrawn by using the unsubscribe link on each newsletter or by contacting us directly.

Submitting listings on our website

If you submit a listing on our website you will need to provide contact details for yourself, your organisation (if applicable) and the information you would like to be included in your listing.

If you request a paid premium listing, we will process financial information and transaction details. This is in order to supply the purchased service and keep the required records of payments made. The legal basis for this processing is the performance of a contract between you and us.

Leaving comments on our website

To leave a comment on our website, you will be asked to provide your name and email address. If you submit a comment, you will be consenting to the information it contains to be published, including any special category data.

We collect the information you entered in the comment form for moderation purposes and to prevent spam and inappropriate use of our website. We do this to protect our users and maintain a safe online environment.

Completing our surveys

When we undertake surveys, we analyse how our audience uses our products and services so we can develop and improve them.

Applying for, or participating in, our talent development programmes

If you apply to participate in our talent development programmes, DAO will collect your contact information such as name, address, email address, phone number, and any biographical or professional information that you have provided. We will also ask for access requirements and emergency contact details to ensure our service is accessible and to protect your wellbeing. We may sometimes ask for sensitive personal data to be provided in anonymous surveys for reporting purposes.

We will collect your information via your website account, direct email, online application forms (sometimes through a third party service provider), or an alternative accessible format. We store and process your personal data on the basis of legitimate interests. After participation in our programmes is finalised, we will only contact you if there is a legitimate business reason for doing so.

Applying for our employment opportunities

We collect personal information provided by you on your application. This includes your name, contact details, details associated with your application such as your qualifications, skills, experience and employment history. We also ask whether you identify as D/deaf, disabled and/or neurodivergent, and whether you have access requirements for which we will make reasonable adjustments during the recruitment process. Processing data from applicants allows us to manage the recruitment process and assess your suitability for the role.

We will also collect equal opportunities monitoring information which includes special categories of personal data which is anonymised before it is processed. Processing equal opportunities data enables DAO to understand the diversity of people applying for jobs and target under-represented communities for future recruitment.

Once a conditional job offer is made we also collect and process references and any data relating to criminal convictions in order to meet our organisational policies and legal requirements.

Requesting our training and consultancy services

If you request our training/consultancy services, DAO will collect your (or your organisation’s) contact information such as name, address, email address, phone number, and any biographical or professional information that you have provided. We will also ask for access requirements and emergency contact details to ensure our service is accessible and to protect your wellbeing.

We will collect your information via direct email, online application forms, or an alternative accessible format. We store and process your personal data on the basis of legitimate interests and the performance of a contract with you. If you have paid for our service, we will process financial and transaction details to keep accurate records of the service that you purchased.

Attending our events

If you sign up to an online event run by us or our partners, you enter into a contract with us. We will collect your name, email address and any information we need to help you during the event. When we have a data sharing agreement in place, we will share this with the person or company running the event to make your experience as positive as possible, to keep you safe and ensure it is accessible to everyone. 

We will use your name and contact details to get in touch with you and give you information about the event. If you have purchased a ticket, we will process financial information and transaction details. This is in order to supply the purchased service and keep accurate records of transactions.

Making a donation

If you make a donation to DAO, we will process the financial and transaction details to keep records relating to the donation. We will also process any contact details provided to thank you, process Gift Aid and for other administrative reasons relating to your donation. We may also use personal data to carry out due diligence in accordance with the law and our internal controls and policies regarding the acceptance or refusal of donations.
